User Data Deletion Instructions

Information for agencies and candidates about how HireFlow operates.

How to request deletion

If you want HireFlow to delete personal data associated with you, send a deletion request by email to privacy@hireflowjobs.com. Please use a subject such as "Data deletion request" so we can identify it quickly.

This page explains how to make that request. Visiting this page does not delete data. HireFlow does not provide instant or automatic deletion.

Information that helps us locate your data

Include only what we need to find the relevant records. Do not send government identity numbers, passwords, payment-card details, copies of identity documents, or other unnecessary sensitive information unless we specifically ask after reviewing your request.

  • Your full name
  • The email address you used with HireFlow (account, application, or correspondence)
  • A phone number associated with HireFlow contact, including a WhatsApp number if you messaged HireFlow that way
  • The recruitment agency, employer, or HireFlow workspace you dealt with, if you know it
  • Approximate dates or a brief description of the interaction

Identity verification

We may need to verify your identity before deleting personal data. That is to reduce the risk of disclosing or deleting another person’s records. If more information is required, we will ask for it as part of follow-up.

What HireFlow can and cannot delete

HireFlow can act on personal data it actually holds and controls as operator of the HireFlow platform. We cannot delete data that HireFlow does not control, including data held only by a HireFlow customer, by Meta, by WhatsApp, or by another third party.

Where a recruitment agency (a HireFlow customer) acts as controller of recruiting data, we may need to coordinate with that agency before records can be removed. In those cases Appollo Lab does not independently decide the request as if it were the recruitment controller.

Legal limits on deletion

Deletion may be limited where retention is required by applicable law or legitimate legal obligations, for example contract, tax, security, or dispute records. Historical backups may retain data for a limited window after live deletion. These limits are described further in the Privacy Statement.

What happens after you request

After we process your request, you will receive confirmation or appropriate follow-up. Follow-up may include a request for identity verification, a referral to the relevant agency, or an explanation of records we must retain.

Processing time depends on the nature of the request and whether a customer agency must be involved. This page does not guarantee a fixed deadline.
